Create a free CRM with Airtable (ideal freelancers)

Airtable is a flexible and very useful tool for business management. If you are a freelance or an entrepreneur, it is worth trying it out! Here we will see how to create a free CRM with Airtable (CRM = customer relationship management and mission monitoring).

1 – Airtable, what is it?

Airtable is software NoCode data management, to halfway between Excel and a database. It is free for normal use and it will be enough for create your free CRM.

If you do not know this tool, read this article which explains how to get started with Airtable. It won’t be essential to understand this guide if you are used to web tools – but it can be useful just in case!

Another interest of this tutorial is to show you how to cross the tables between them. In other words, you will see how we can link records from 2 different tables (or more) to each other to use your data more powerfully and efficiently. This feature is one of the big Airtable’s strengths, and what makes it a real relational database, unlike Excel for example!

2 – What is a CRM for?

A CRM, or Customer Relationship Management, is a unique database where you store the data concerning your customers in a logical and efficient way. It supports the sales process, provides actionable information, and facilitates communication with your customers and prospects.

Concretely, a CRM will help you set up processes and reminders to:

  • sell more services
  • improve customer satisfaction
  • boost your productivity in your business management

3 – Step by step create your free CRM with Airtable

Here’s how to build your in-house CRM quickly …

3.1 – Create the database

For create your free CRM, open Airtable and create a new database, which you will call for example “My CRM”. We will start with a blank table (empty base).

3.2 – Create the tables

In your new database, you will then create the following tables and columns:

A/ Business Table. The table containing the companies you are targeting. Create the following columns there:

  • Last name : type Single line text
  • Type : type Single select, create the types of businesses you interact with
  • Address : type Single line text
  • Description : type Long text
  • Contacts*: leave the default type for now, we’ll come back to that later

B/ Table Contacts. It will contain the contacts (employees, managers, etc.) within the companies you are targeting. Create these columns:

  • Last name : type Single line text
  • Business*: leave the default type for now, we’ll come back to that later
  • Post : type Single line text
  • Phone : type Single line text
  • Email : type Email
  • Interactions*: Leave the default type for now

C/ Table Interactions. You will note your exchanges with your contacts. This will allow you to plan and keep track of these exchanges. Create the columns:

  • Description (this is a brief description of the interaction): type Single line text
  • Contact*: leave the default type for now, we’ll come back to that later
  • Date hour : type Date, check the hours (set to 24 hours)
  • Type : Single select, create the following types: email, call, live meeting
  • Mission concerned*: leave the default type for now, we’ll come back to that later
  • Notes (you will write down things to say to your contact, then describe the exchange once it has taken place): type Long text

D/ Table Missions.

  • Description (a brief description of the assignment): type Single line text
  • Benefits (the types of service you offer): type Multiple select, plan a list of choices corresponding to your services
  • Business*: leave the default type for now, we’ll come back to that later
  • Mission status : type Single select, with the choices Under negotiation, Deal concluded, Mission in progress, Completed
  • Amount (the amount negotiated, then invoiced): type Currency, replace the $ by €
  • Mission start date : type date
  • Mission end date : type date
  • Payment date : type date

3.3 – Cross the tables between them

You might have guessed it, all columns with an asterisk

are special. They call on one of the other tables from the same database. Now that we have created all the tables, we will be able to link them together.

  • To do this : Click the arrow of the column that refers to another table (for example, the column Business of the tableMissions
  • ) Click on
  • Customize field types Select the type of control
  • « Link to another record » Click again on Link to another record
  • and select the table to link Click on
  • Save You can add one or more fields from the targeted table. This option can be useful if you want to view information other than the first column of records in the target table. But most of the time you don’t select any and clickSkip

3.4 – Customize your CRM by adding views Your CRM Airtable

is operational! You can now use it by entering your contacts, companies, interactions and missions. Link the recordings together, you’ll see, it’s very easy and intuitive!

You can then take ownership of the database by creating new views. For example, the mission table lends itself well to a vue kanban
